One of the most long-awaited features in BigPicture has finally arrived—the Financials module. Gone are the days when project managers had to juggle external spreadsheets or third-party tools to track budgets. Now, you can monitor financial data directly within BigPicture, including real-time budget tracking, cost projections, and actual expenses. Let’s dive into what makes this module so powerful.
Visualize Budgets Like Never Before
Whether you’re preparing a presentation for stakeholders or conducting a monthly review, the Financials module makes it easier than ever to visualize and manage your project budget. With clear charts and color-coded indicators, staying on budget becomes a breeze. You can view total costs, monitor variances, and even drill down into specific initiatives for more detailed insights—all within a single, unified interface.
Getting Started: Setting Up the Financials Module
To use the Financials module, you’ll need to configure it for either a Portfolio or a single Initiative. Once configured at the Portfolio level, it becomes available for all underlying Initiatives as well.
You’ll be prompted to select a tracking timeframe for initiative costs. Don’t worry—it can be updated anytime later to reflect changes in your planning.
Then, choose your cost calculation method:
- Box Hourly Rate: Applies a uniform rate across all tasks, regardless of the team.
- Team Hourly Rate: Assigns different hourly rates per team. If a team hasn’t been specified, the default rate is $100.
- Box Hourly Rate: Applies a uniform rate across all tasks, regardless of the team.
Key Budget Metrics at Your Fingertips
The module provides three essential cost indicators, in addition to the manually editable budget field:
- Total Cost: Reflects the sum of all task costs, both completed and planned:
- Green = within budget:
- Green = within budget:
- Red = over budget:
- Actual Cost: Represents the cost of completed (logged) work.
- Remaining Cost: Shows the estimated cost of all planned (future) work.
💡 To calculate Actual Cost, make sure work is being logged to tasks.
You can view the formulas behind each metric here (clink on the link):
And yes—the budget field includes an edit history. Just hover over the information icon (“i”) to see who modified it and when.
On the left, a cost distribution pie chart shows how total costs are split across initiatives. Hover over any section to reveal the initiative’s name and total cost.
Portfolio-Level Financial Overview
When viewed from the Portfolio level, BigPicture gives you a high-level breakdown of how costs are distributed among different initiatives. This is especially useful for program managers and executives who need a quick understanding of overall budget health across multiple projects.
Understanding the Visual Indicators
The financial summary screen is designed to help you interpret your budget at a glance:
