In today’s fast-paced digital world, managing tasks efficiently is more important than ever. If your inbox often becomes your to-do list (and especially if it is a long one), and you’re using Jira to manage work, the Gmail for Jira Cloud add-on is the game-changer you’ve been waiting for.
Meet the Gmail for Jira Cloud Integration
This app seamlessly bridges your Gmail inbox with your Jira workspace. Available on the Atlassian Marketplace and Google Workspace Marketplace, it allows you to:
- Convert emails into Jira issues with just two clicks
- Access, search, and edit Jira issues directly from Gmail
- Instantly add comments to tasks without switching tabs
- Maintain context continuity by working within your email interface
How It Works
- Install the App
Head to the Google Workspace Marketplace and install the “Email to Tasks – Gmail for Jira and Monday” app OR to the Atlassian Marketplace and install “Email&Tasks for Jira Cloud and Gmail Integration”.
2. Connect Your Jira Account
Sign in to your Jira Cloud instance and then Connect your Gmail account with Jira. (Heads up: the connection process may take a few moments.)
3. Start Using the Add-On in Gmail
As soon as this part is ready, a new panel will appear on the right-hand side of your Gmail. Click it to unlock all the functionality.
Real-Life Examples of Use
Scenario 1: Planning a Meeting
Received another meeting request via email like the one below?
Use the “Add Meet & Issue” feature to schedule a Google Meet and create a Jira task in one go.
Participants’ emails and meeting details are automatically filled in (as per the actual email you’re creating this one from). Notice that even the due date is correct as we have the “next Thursday” mentioned in the original email.
Then you’ll get a confirmation that the meeting in Google Meet was created along with its title and a link:
So, since you already have your Meet ready it is time to create a Jira issue related to it.
- Step 1 – Choose a Jira project in which the issue should be created
- Step 2 – Choose issue type (from those available in the previously chosen Jira project)
- Step 3 – Choose Assignee or leave it Unassigned
- Step 4 – Add actual Jira issue to your Project
And finally enjoy having an actual Jira issue created directly from your Gmail inbox:
Scenario 2: Scheduling a Call
Just sent an email scheduling a call? Use the add-on to instantly create a Jira issue so that you’ll have it as a task and won’t forget about preparing an agenda to it. You can also upload any attachments from the email to Jira, how cool is that??
The app automatically pulls in the correct date and details from the email content—no manual entry required. You can also assess the priority of this issue or change the Reporter.
With this example I just used a sent out email from my mailbox and the option to “Add new issue” in the mentioned App.
Customizable Issue Creation
When creating a Jira issue from Gmail, you can:
- Choose the Jira project
- Set the issue type (e.g., Task, Bug, Story)
- Assign the issue or leave it unassigned
- Add details pulled directly from the email content
Why Teams Love It
This integration removes the need to copy-paste content from Gmail to Jira. You can stay focused, avoid context switching, and keep your inbox clean—while making sure no task gets lost in the email abyss.
From busy project managers to customer support teams, anyone using Jira and Gmail will benefit from this simple yet powerful add-on.
